We recommend that clubs plan a mix of programs throughout the year (or, for smaller clubs, over the course of a few years).

Program Planning Timeline

Generally, an idea for an event should be conceived approximately three to six months in advance.

Event Expenses, Payments, & Reimbursement

  • As a volunteer, you are not expected or encouraged to pay out-of-pocket for event expenses (or any club expense). Contact Advancement when payment is needed and Vassar will work directly with the vendor.
  • Vendor contracts must list Vassar as the client and be reviewed and signed by Vassar staff. Club leaders are encouraged to locate local vendors and begin conversations and negotiations, and then turn the process over to college staff when it is time to finalize the contract and make payments.
  • If vendors are to be paid by check, they must be registered as a supplier with the college. If they are not already in our system, they will need to complete Vassar’s online supplier registration. Please allow sufficient time to complete this process before payment is required.
