Email/eNewsletter and Event Request Policy
The broadcast email, eNewsletter, and online event announcement/registration services are provided solely for the advancement of Vassar College and are not intended to promote or advertise personal news or external (non-Vassar) fundraising, events, products, or services. Vassar’s Office of Advancement reserves the right to review, edit, or reject any broadcast email/eNewsletter and/or online event announcement/registration request, in its sole discretion.
Timing of Request Submissions/Processing/Delivery:
- Once a request is submitted via the online request form, Vassar will copy-edit the text and create a preview of the broadcast email and/or online event announcement or registration form, which will be sent to the volunteer for approval (with the exception of class notes requests). Please allow a minimum of (7) full business days after submitting your request until the finished email or announcement is sent out. (Please note that during periods of a high volume of requests, your request may take longer.) See also the Holiday Closings section below.
- No email announcement of an event will be sent less than seven (7) calendar days prior to the event, unless it is a follow-up message reminder. Thus an initial email announcement of an event must be submitted a minimum of seven (7) full business days PLUS seven (7) calendar days prior to the date of the event.
- A single reminder message to a broadcast email can be sent and should be requested at the time of submission of the initial request as allowed on the request form. An additional reminder may be requested by submitting a new broadcast email request form.
- Advancement will not put an event on its online event calendar if the event is taking place less than five (5) days after the request is submitted.
- Requests submitted during office closures, holidays, weekends, or weekdays after 4pm U.S. Eastern Time will not be deemed to begin their first day of processing until the next business day.
- Submitting a request in accordance with the rules stated above does not necessarily guarantee that it will be processed and delivered/set-up within the requested time frame. Advancement reserves the right to bump any broadcast messages in the queue when deemed necessary.
Form Completion Confirmations
For any online form that includes the collection of credit card/billing information from users completing the form, no individual confirmation emails of the transaction can be sent to non-Vassar employees. Reports that exclude credit card information may be requested from Vassar staff to obtain information on the number of users who completed a form, dollar amounts paid for specific items, number of attendees of an event, etc.
Holiday Closings
Please note that Advancement is closed every year from on or about Christmas Eve Day through New Year’s Day, and no requests received during this time period or less than five business days prior to this time period can be processed.
Requests submitted sufficiently in advance of the winter holiday closing may be scheduled for actual delivery during the holiday closing period. See Vassar’s complete yearly holiday schedule.
